Life, Pensions & Group Schemes Administrator

To keep up with our growth, we’re looking for a dedicated Life & Pensions Administrator to join our company.

You will also support the administration and coordination of group pension and risk schemes, working with employers, providers, and advisors to ensure smooth ongoing management.

Skills required

  • Experience & Technical knowledge

    • Minimum 3 years’ experience in life and pensions administration
    • Strong understanding of pensions and investment processes
    • Experience working with providers and processing client business
    • Experience administering group pension or employee benefit schemes (desirable)
    • Understanding of employer pension and risk scheme processes
    • APA / QFA desirable but not essential
  • Client & Communication Skills

    • Excellent client service and relationship skills
    • Clear and professional communication (written and verbal)
    • Ability to handle client queries efficiently and professionally
    • Strong interpersonal skills working within a team environment
    • Ability to communicate effectively with employer clients and scheme members
  • Organisation & Execution

    • Strong organisational and time management skills
    • Ability to manage multiple tasks and priorities
    • High attention to detail and accuracy
    • Strong follow-through on tasks and deadlines
  • Systems & Working Style

    • Strong Microsoft Word and Excel sillks
    • Comfortable working with CRM systems and digital tools
    • Proactive approach with ability to anticipate needs
    • Positive and collaborative mindset

Key responsibilities

  • Client Support & Administration

    • Manage inbound client enquiries (phone, email, web)
    • Support advisors in delivering advice and managing client interactions
    • Prepare client documentation, reports, and suitability packs
    • Process applications and manage new business pipeline
    • Assist with employer and scheme-related queries
  • Pensions & Benefits Administration

    • Administer group pension and benefits schemes
    • Ensure all client work is handled within agreed service levels
    • Maintain accurate and up-to-date client records
    • Ensure compliance requirements are met across all work
    • Support ongoing servicing of employer pension and risk schemes
  • Coordination & Team Support

    • Allocate and manage new enquiries across the advisory team
    • Vet supporting documentation and ensure accuracy
    • Support advisors and colleagues in delivering client work
    • Assist with internal coordination and workflow
  • Business Support & Development

    • Support office administration and day-to-day operations
    • Assist with client communications and events
    • Contribute to process improvements and efficiency
    • Support wider business initiatives and marketing activities
  • Group Schemes Administration

    • Support the administration of group pension and risk schemes
    • Coordinate with providers to ensure contributions and updates are processed correctly
    • Manage scheme member queries and communications
    • Assist with onboarding new members and scheme changes
    • Maintain accurate records for employer schemes and ensure compliance requirements are met
    • Support advisors in delivering ongoing service to employer clients
